When clients engage us

Situations that typically drive this conversation

01

Monthly close consistently exceeds fifteen business days

Prolonged close cycles indicate underlying issues with accounting processes, reconciliation discipline, or system design that warrant structured attention.

02

Recurring journal entries require manual intervention every period

Repeated manual correction of the same transaction types indicates accounting policy or system issues that can be structurally resolved.

03

A controller transition has created near-term capacity gaps

Controller-level departures frequently create coverage gaps that exceed what the remaining accounting team can absorb without temporary reinforcement.

04

Bookkeeping has outgrown its original scope

Growth has stretched existing bookkeeping arrangements beyond what they can reliably deliver, creating reporting lag, data quality issues, or management reporting gaps.

05

Board or investor reporting requires higher-quality source data

Month-end accounting that was adequate internally is not sufficient for the reporting expectations of boards, investors, or lenders.

Capabilities

What this service line delivers

01

Monthly close process

Structured month-end close process delivering reliable financial statements on a predictable cadence. Includes bank and credit card reconciliation, accrual entries, deferred revenue recognition, prepaid expense amortization, fixed asset accounting, and the consolidated reporting appropriate to the entity structure. Close timelines are engineered, not accidental.

02

Transactional accounting

Accounts payable management including vendor setup, approval routing, and payment processing. Accounts receivable including invoicing, collection, and aging analysis. Payroll coordination with external providers. Expense management and corporate card reconciliation. The transactional foundation on which the financial statements rest.

03

Reconciliation and account analysis

Disciplined reconciliation of all material balance sheet accounts with supporting documentation and variance analysis. Identifies issues early when they are inexpensive to resolve rather than at audit when they are costly. Reconciliations are retained as part of an audit-ready documentation system.

04

Fractional controller services

Senior-level accounting leadership delivered without the cost or commitment of a full-time hire. Appropriate for growing companies that have outgrown bookkeeping but do not yet need an in-house controller. Includes accounting policy development, team supervision, audit coordination, and leadership-level reporting.

05

Financial statement preparation

Monthly, quarterly, and annual financial statement preparation including balance sheet, income statement, statement of cash flows, and supporting schedules. Formats tailored to intended audience: internal management, board, investors, lenders, or audit.

The monthly close calendar

A ten-business-day close, engineered

Monthly close is engineered, not accidental. Outlook's process delivers a board-ready financial package within ten business days of period end, supported by reconciliations, variance commentary, and audit-ready documentation.

Frequently asked

Questions clients ask before engaging

Does Outlook work with specific accounting systems?

Yes. Common mid-market accounting systems are within team experience, including QuickBooks Online, Xero, NetSuite, Sage Intacct, Microsoft Dynamics 365 Business Central, and others. System-specific work and system migrations can be included in engagement scope. Specific system expertise can be confirmed during scoping.

Engagements are scoped to complement existing internal capacity. Outlook can operate as the complete accounting function, as specific workstreams alongside internal staff (accounts payable only, month-end close only), or as fractional controller leadership layered above existing transaction execution. The structure is adjusted as the organization evolves.

Monthly close discipline is designed to produce audit-ready documentation on an ongoing basis rather than reserving it for year-end. Balance sheet reconciliations, supporting schedules, and narrative explanations are retained in an audit-ready format throughout the year. Dedicated audit preparation support is available through the Audit Readiness & Controls service line for year-end support.

A fractional controller provides senior accounting leadership — controller-level judgment and decision-making — on a part-time basis. It is appropriate for companies that need controller-level capability but are not at the scale that justifies a full-time hire, typically businesses with annual revenue between five million and thirty million dollars. Engagement typically runs ten to twenty hours per week with full operational ownership of the accounting function.

Many growing businesses reach a point where cash-basis accounting no longer meets reporting needs — typically when revenue exceeds the IRS threshold, investors require accrual statements, or audit is anticipated. Conversion requires reconstructing accounts receivable, accounts payable, prepaid expenses, deferred revenue, and accrued liabilities as of the conversion date. We manage the conversion and the transition to ongoing accrual-basis operations.
